Mitsubishi Shoji Chemical Corporation will respect the personality of individuals, comply with the Personal Information Protection Act and the Act on the Use of Numbers to Identify a Specific Individual in Administrative Procedures, and appropriately handle personal information, pseudonymized personal information, anonymized personal information (referring to information relating to an individual that has been processed so that it is impossible to identify a specific individual and that is also impossible to restore to the original personal information, including information on the means of processing) and information related to personal information (hereinafter collectively referred to as “Personal Information”).

  1. 1.  We have implemented a control system which establishes internal corporate rules and designates a person to be charge of protecting personal information, and anonymized personal information , etc. (i.e., a collection of anonymized personal information and information on the means of processing) .
  2. 2.  We fairly and properly obtain and handle personal information within the means necessary to fulfill the purpose of use that is notified to the user beforehand or publicly disclosed.
  3. 3.  We take the appropriate safety management measures to prevent the loss, damage, tampering, or disclosure of personal information and anonymously processed information, etc.
  4. 4.  We take the necessary measures to comply with the applicable laws and regulations when providing personal information or anonymously processed information, etc. to third parties.
  5. 5.  We do our best to quickly respond to customer requests and inquiries regarding the disclosure, correction, and suspension of personal information, and questions related to anonymously processed information.
  6. 6.  We make sure all our employees are familiar with the procedures for a proper handling of personal information and anonymously processed information by promoting training programs and educational activities, and we continuously review the management system.

Purpose of use of personal information

We will handle the provided personal information to the extent necessary for achieving the following purposes, unless otherwise notified by other means.
In addition, we will not handle individual numbers beyond the scope of work operations related to individual numbers as set forth in laws and regulations.

  1. 1.  Conclusion and execution of agreements between the customer and our company, payment, other transaction management and management of affiliated companies such as business investments.
  2. 2.  Communication between the customer and our company, notification regarding corporate officer changes, sending schedule planners and calendars and issuing notices and greetings based on social customs, such as sending greeting letters
  3. 3.  Provision of information about our products and services related to the transactions with the customer
  4. 4.  Investigation, analysis, research and audits related to our businesses
  5. 5.  Creation of statistical information, analysis of anonymized personal information or other processing of personal information for our use
  6. 6.  Information exchange and communication with persons in industries and organizations related to our businesses

In order to achieve the abovementioned purpose of use, we may contract with a contractor for the handling of the provided personal information. In that case, we will provide the necessary and appropriate supervision of the contractor in order to ensure security control of the contracted personal information.
In addition, when a government agency requests provision of personal information based on a law or regulation, we may provide the information to such agency.

Measures for security control of personal data

We implement the following security control measures for the provided personal data.

  1. (1) Formulation of the basic policy
    In order to secure appropriate handling of personal data, we have established the basic policy for compliance with related laws and regulations and the designated point of contact.
  2. (2) Institutional security control measures
    We have appointed a person in charge of the handling of personal data, established internal rules concerning the safe handling of personal data, and a framework for reporting to the person in charge if a fact or sign of a violation of a law or internal rule is found.
  3. (3) Human security control measures
    Regarding the points to note concerning the handling of personal data, we provide regular training to our employees.
  4. (4) Physical security control measures
    In the areas where personal data is handled, employee access is controlled, and measures are taken to prevent the viewing of personal data by unauthorized persons.
  5. (5) Technological security control measures
    We implement access control to restrict the scope of the persons in charge and personal information database, and at the same time we have introduced a framework to protect the information systems in which personal data is handled from unauthorized external access or unauthorized software.
  6. (6) Grasping the external environment
    We have grasped the frameworks concerning protection of personal information in each country where personal data is stored and have implemented security control measures.

If necessary, we may jointly use personal information provided by our customers as follows. However, we will not jointly use individual numbers.

In accordance with the Personal Information Protection Act, we accept requests for notification of the purpose of use, disclosure (including disclosure of records about provision to third parties), correction and suspension of use concerning our customers’ personal information that we possess, as well as questions regarding the handling of personal information or anonymized personal information and the filing of complaints.
